Personal Communications Assistant (PCA)

Cisco has created an assistant for you to manage your Voicemail (Unity). We call it your PCA. You will be able to customize/personalize your settings for voicemail, change your own password and create a private voicemail list. You will also have a Cisco Unity Inbox that lets you listen to, compose, reply to, forward and delete messages right from the web page. Let’s get started! Go to the following website: https://unity.roanoke.edu/ciscopca

  • Type in your user name, password (your password that you use for logging on)
  • Type in Academic
  • Click on Log In
    NOTE: If your log-in fails look right over the words “Cisco Personal Communications Assistant” and you will see a ? “This website wants to install the following …..
  • Right Click on it and select Install This Add-on for All Users on This Computer
    • Click Yes
    • Now login again
  • You will have two options:
    • 1. Cisco Unity Assistant (click this one first)
    • 2. Cisco Unity Inbox

Unity Assistant

• The first thing you will see is your name and right under that is a bar that says Recorded Name:

• Click on the first triangle and go to Playback Devices and make sure that Speaker is checked (that way you will be able to listen through your speakers. If you keep Phone checked, it will ring your phone and you will have to pick it up and listen through it)

• When you “hover” over the sideways triangle, it says PLAY. Click on that and you should hear your Name (that is if you have put it on your voicemail box.)

• If you have not put your name out there, you can now do so from this page.

• Click on the Red dot

• When you click on the red dot (record button) your phone will ring … answer the phone

• If you previously recorded a NAME a screen will appear on your computer that says “Overwrite message at current position?” Click OK and you will hear a beep. Record your name and hang up.

• If you have never recorded your NAME … then you will not get the “overwrite message” box. Just answer the phone, you will hear a beep, record your name, then hang up.

• You can listen to it by clicking the Play button again.

• Next is your extension

• Then … in the middle of the page it says Phone Password. You can change your Password here. You must put a new one in and confirm it.

• Speed and Volume are set for you

• Alternate Devices

o At this time we are not going to use this

Greeting Tab (find this on the green tab next to Inbox at top of the page under Unity Assistant)

• Click View Greetings then click on Alternate

• This page is for you to put on your Alternate greeting. If you are on vacation, off for the day, etc.

• You have choices to Enable with no end date or Enable with end dates. This is awesome!

• Go to the first triangle and make sure the Playback Device is on Speakers

• Press the “Play” button and you will hear the Alternate greeting

• If you want to change it …

• Click on the Red dot

• Phone will ring … a screen will appear on your computer that says “Overwrite message at current position?”

• Click OK and you will hear a beep. Record your greeting and hang up

• You can listen to it by clicking the Play button again.

• Leave the “Do not play the ‘Record your message at the tone'” prompt UNCHECKED

• Save

Go back to Greetings >View Greetings
Do the same thing for the Standard greeting

• To change your greeting … Click on the Red dot

• When you do your phone will ring … a screen will appear on your computer that says “Overwrite message at current position?”

• Click OK and you will hear a beep. Record your greeting and hang up

• You can listen to it by clicking the Play button again.

• Leave the “Do not play the “Record your message at the tone” prompt UNCHECKED

• Save

Remember you can also record your greeting or your name from your phone. The PCA is just easier to use!

Private Lists Tab
If you have a small group of employees that you send voicemails to on a regular basis, you may want to set up a Private List. There is a tab for Private List on the top green info bar. This is a pretty easy application. Pick the New Private List and follow the instructions:

• Name the list

• Click Add Member

• Screen will pop up and you will put in the last name of the person you want to add

• Click Add

• Continue to add people until you have everyone you want on your list … Click Save

Then to send a message:

• Click on the tab “Inbox” on the same green info bar; click View Inbox

• Click on the postcard with the pencil on it

• Click on the Red record button

• Your phone will record

• You will get a beep in the headset …Record your message … hang up

• Click on To:

• Look at tabs and find “Private Lists”

• Display Name: Type in the name of the Private List that you created

• Find the Private list

• Click “To” one time and x out of that box

• Click Send

Unity Inbox

The Unity Inbox is basically where all your voicemails are stored. You can listen to them from this page if you like instead of listening from Outlook. You can also create a voicemail from this page. One really good feature about this page is you can retrieve DELETED voicemails and put them back in the INBOX.

Summary

The PCA is a great tool for you to use to change your voicemail password, make private list, record your greeting and your name plus manage your voicemail INBOX. There is a HELP button on each page that is wonderful! It allows you to ask for HELP for just that page or for the whole PCA.
