In this article we will cover:
1) Interacting with received voicemails
2) Recording a voicemail greeting
3) Update voicemail PIN
1) Interacting with received voicemails:
– When you receive a voicemail you will see an email arrive
– The email will be from ‘webex_comm@webex.com‘
– Within the body of the email you will see who the voicemail is from along with a transcription of the voicemail
(If the voicemail audio is not clear, there will not be a transcribed message)
– Attached to the voicemail will be a .wav file which is the recorded voicemail itself
– Below is an example of a voicemail received via email:
– You also have the option to interact with your voicemails in the softphone itself
– The behavior is very similar but does not require that you download a .wav file to listen to the voicemail
– Instead, you can simply press the play button and the audio will begin to play for you
– Additionally, the softphone shows a transcription of the voicemail just like the email
– You can simply navigate to the ‘Voicemail‘ tab in the softphone to see all voicemails
– Below is an example of a interacting with a voicemail in the softphone app itself:
2) Recording a voicemail greeting:
– To record a voicemail greeting, begin by navigating to the ‘Call settings‘ button in the softphone
– This will open a new window, in the window ensure you are in the ‘Calling‘ tab
– Scroll down until you find ‘Access User Portal‘:
– This will launch a browser window asking you to sign into Webex
(This will require you to enter your roanoke.edu email address)
– Once signed in, you will see the ‘Webex User Hub‘ page presenting you a few options
– Find the ‘Voicemail‘ tab near the center of the page:

– Finally, once in the voicemail tab you will see a section called ‘Send calls to voicemail‘
– In this section, you will see a box ticked for ‘Default message when no one answers‘
– Tick the box just below it named ‘Custom Message‘
– This will now allow you to either record a greeting or if you have one saved, you may upload it at this point
(It will likely be easier to just record a new one, as there a rather particular file specifications for uploading an existing file)
– See the photo below to locate the correct ‘Custom Message‘ field, as there are two similar fields:
(The other field is just an option to have a separate greeting if you are busy when someone attempts calling you)
– Now you should be all set, just ensure you hit save if you made any changes
– Before you close out of the ‘Webex User Hub‘ you may want to update/choose a voicemail PIN
(See the section below, as the steps are very similar)
3) Update voicemail PIN:
– To update your voicemail PIN, you will follow the exact same steps as above (Recording a voicemail greeting)
– Open your softphone
– Access the ‘Call settings‘ tab
– In the new window, under ‘Calling‘ scroll to the ‘Access user portal‘ link
– Sign into the ‘Webex‘ window using your Roanoke email address
– Choose the ‘Voicemail‘ tab
– Now locate the subsection labeled ‘Voicemail PIN‘
– Finally, interact with the ‘Reset Voicemail PIN‘ button
– You will now be able to choose / update your voicemail PIN following the on screen guidance
